Privacy statement

Last updated: 4 November 2026

This page explains which data we process when you use this website. It also explains why we do that, how long we keep it and what your rights are.

Who we are

This website, akensolutions.nl and akensolutions.com, belongs to AKEN Solutions. We are responsible for processing your data as described here.

AKEN Solutions is being founded as a BV right now. Once it is registered, we will add the statutory name, the Chamber of Commerce (KvK) number and the address here.

We are based in the Netherlands and Dutch law applies to this statement. The supervisory authority is the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

Questions about privacy? Email info@akensolutions.nl.

No cookies and no tracking

We use no cookies and store nothing in your browser, not in localStorage either. We use no analytics, no tracking pixels and no advertising.

Fonts and videos are served from our own website.

The chat on the homepage

When you send a message in the chat, it goes to our server so we can write an answer. The server keeps no chat history.

While the conversation runs, we hold a handoff in memory with your question, the conversation and your company name. That lasts at most 30 minutes.

The chat may ask you for:

  • your name
  • your email address
  • your company name
  • the type of company
  • the number of employees
  • the annual revenue (optional)
  • what you need help with

Answers with AI

The answers in the chat are generated by OpenAI models, through OpenAI’s ChatGPT/Codex service. For these requests, storage at OpenAI is switched off (store: false). Web search is switched off too.

This is what goes to OpenAI:

  • your messages
  • the details you have entered so far
  • public information about AKEN
  • the advice from the website scan, if you asked for a scan

OpenAI is based in the United States. Your data goes there on the basis of appropriate safeguards such as the EU-US Data Privacy Framework.

The website scan

We only scan a website after you press ‘Yes, please’.

A browser on our server then reads at most three public pages of the website you name, plus a mobile view. We turn that into at most four short points.

The scan report is kept in memory for at most 1 hour.

Your contact request

When you finish the chat or ask us to call you back through the callback dialog, we receive:

  • your name and email address
  • your phone number (optional, only if you want a callback)
  • your company and the number of employees
  • your revenue, if you gave it
  • your note
  • the full conversation
  • the website and the scan points

We store this in our database at Cloudflare (D1). Our server also emails it through Cloudflare to the AKEN inbox at Google (Gmail).

Why: to contact you about your question.

Legal basis: your own request, as a step before a possible contract. And our legitimate interest in following up a request you started yourself.

How long: we keep a request for at most 24 months after the last contact. Then we delete it. You can ask us to delete it earlier at any time.

Server logs

When our server processes a request, our Cloudflare Worker writes a log line. It can contain the details of that request. Cloudflare keeps these logs for a short period, a few days.

Protection against abuse

To stop abuse, we count requests per IP address. We store only a one-way hash of the address, never together with a request. We delete it after 10 minutes.

Speech input

If you use the microphone, your browser does the speech recognition. Depending on your browser, this can happen at the browser maker, for example at Google if you use Chrome. We only receive the text you send.

Who else processes your data

For this website we work with three processors:

  • Cloudflare: hosting, database, mail routing and servers
  • OpenAI: the AI answers
  • Google: the Gmail inbox of AKEN

We do not sell your data and we do not share it for marketing.

No automated decisions

We make no automated decisions with legal or similarly significant effects for you. The chat only prepares a request. A person at AKEN reads that request.

Security

The website uses HTTPS. Only the AKEN team can access the requests. And we limit the number of requests per IP address.

Your rights

You have the right to access, correct and delete your data. You can also ask us to restrict processing, object to processing and have your data transferred. If you gave consent, you can withdraw it at any time.

Email info@akensolutions.nl to do so. We answer within one month.

Not happy with how we handle your data? You can file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) at autoriteitpersoonsgegevens.nl.

Google user data

AKEN has its own Google Ads tool, AKEN Ads. It uses the Google Ads API with AKEN’s own Google account only. We use it to look up keyword search volumes and related figures for marketing work AKEN does for its clients.

We do not ask visitors of this website to sign in with Google. We do not access visitors’ Google data.

AKEN's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Changes

When something changes in how we handle data, we update this page. The date at the top shows when that last happened.
